Child Protection Policy

Camberley Dance Academy is fully committed to safeguarding the welfare of all children and young people.
We have a responsibility to safeguard the welfare of the children we teach and to ensure that appropriate policies and procedures are in place so that a child may take part in classes and shows within a safe and secure environment.
We will promote and maintain the welfare of every child in our care and seek to protect them from harm regardless of race, age, disability, gender, sexual orientation, religious belief or any other form of identity or creed. We will create a safe and welcoming environment for all.

Camberley Dance Academy recognises its duty of care under the Children and Young Persons Act 1963, the Children (Performances and Activities) (England) Regulations 2014, the Children Act 1989 and the Criminal Justice and Court Services Act 2000 (in Scotland Protection of Children (Scotland) Act 2003). Working Together to Safeguard Children 2013.

Camberley Dance Academy will ensure that:
This policy applies to all our staff/volunteers and covers children under the age of 18 and vulnerable adults under the age of 24. 
To protect children and young people in our care, we will:

• Value and respect children and listen to what they have to say
• We provide an environment in which children are safe, can learn and develop at their own pace and are aware that there are always adults in whom they can trust.
• All children will be treated equally and with respect and dignity.
• The welfare of each child will always be put first.
• Enthusiastic and constructive feedback will be given rather than negative criticism.
• Bullying will not be accepted or condoned.
• It will work with the venues we hire to provide a safe and secure environment. 
• It will hold a register of every child involved with the school and will retain a contact name and number close at hand in case of emergencies.
• Share our policy with all staff, parents and students
• Ensure all required checks are made when hiring staff and that those in regular contact with children hold a current DBS check 
• Take responsibility for children and young peoples' safety when in our care
• Seek permission from parents before taking images (photographs or film) of students and inform them how and where the images will be used
• Report suspected neglect or abuse to the nominated member of staff, relevant organisation, or police 
• Ensure that this policy is regularly updated

Reporting Suspected Neglect or Abuse

Concerns regarding a child’s welfare can be reported by:
• Parents
• Teachers
• Friends
• The child or young person

All allegations of neglect or abuse will be taken seriously. If a concern is reported directly by the child or young person we will not seek to disagree, ask probing or leading questions, or do anything else which may discourage them.

We will make clear that reported concerns cannot be kept confidential but will need to be shared with a nominated member of staff or external organisation. Parents or guardians will also be involved if appropriate.
We recognise that early action is vital. Any concerns will be reported immediately to the police.
Appropriate Physical Contact in Dance

Teaching dance is a physical activity and a teacher will sometimes need to make physical contact with a student to show an idea or to correct the student’s position. This can include:
• Lifting
• Adjusting arms, legs, rib cage, hips, feet, hands
• Moving one student in relation to another
Where contact is needed, we will remain sensitive to the student’s wishes and put their welfare first. In all cases, we will say why and how we will be correcting the student’s position before making any contact. 
Use of Photographs and Film of Children

We recognise that taking images of students in our care may not always be appropriate and that some children and parents may not want images taken at any time. Therefore, before taking images of a child or young person, we will:
• Clearly identify the person who will be taking the image
• Explain how the image will be used, e.g. whether it will be put on the website, social media or printed to be displayed at the school
• Seek written agreement from parents that images can be taken of their child 
• Where we have publicly displayed images at our school or on social media, parents and students may withdraw their permission at any time. In such cases, the images will be removed as soon as is reasonable and without question. 
• We ask that any parent wanting to take photographs or film at our events only do so with our prior permission. Permission will only be granted on the agreement of all present.



Privacy Policy

Introduction
 
New EU regulations known as the General Data Protection Regulation (GDPR) came into force on 25 May 2018. The GDPR places significant additional responsibilities, over and above those defined in the Data Protection Act 1998, on those who collect and process personal data to ensure that providers of personal data understand the lawful basis for the collection and processing of their data. The document which explains this basis is known as a ‘Privacy Policy’. 
 
Our privacy policy
This privacy policy sets out how we, ‘Camberley Dance Academy , use and protect any information that you give to us.
We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified you can be assured that it will only be used in accordance with this privacy statement. We may change this policy from time to time by updating this document. This policy is effective from 25th May 2018.
 
What we collect
 
Information you give us. 
For example, when you register a student for classes, we will store personal information such as a name, postal address, date of birth, email addresses and telephone numbers. We will keep a record of the classes the student is enrolled in and other transaction details relating directly to the student.
 
Information given to us by 3rd parties. 
For example, when the student takes an examination, a 3rd party examining board will send us the students results, which we keep on record. 
 
Sensitive personal data. 
Data Protection Law recognises that certain categories of personal information are more sensitive such as health information. We will collect medical information such as allergies, mental health or physical limitations that relates to the care and needs of the student within our classes. We only collect data that is relevant to us.
 
What we do with the information we gather
 
There are three ways in which we may process your data:
 
Contract purposes
When you enrol a student in our classes you are entering into a contract with the Camberley Dance Academy. In order to keep this contract we need to process and store your data. 
For example; we may need to contact you by email or telephone in the case of cancellation of a class, or in the case of problems with your payment along with other circumstances. 
 
 With your explicit consent
For any situations where the two above are not appropriate, we will instead ask for your explicit consent before using your personal information in that specific situation. For example, we will ask you to complete a consent form for photography and video use. 
 
Who do we share your information with

There are certain circumstances under which we may disclose your personal information to third parties. 
• Where we are under a duty to disclose your personal information in order to comply with any legal obligation (for example to government bodies and law enforcement agencies).
• Examining boards (RAD, ISTD) and Shows (local council for performance licenses). This information is shared in order to enter your child and can be the following but is not limited to: name, date of birth, address. These third party organisations are required by law to hold their own Privacy Policies. 
• We share information within the school amongst staff in accordance with our Child Protection Policy.  
Controlling your personal information

You may choose to restrict the collection or use of your personal information:
• If you have specific requests regarding your information please email info@camberleydanceacademy.co.uk to discuss your requests. 
• If you believe that any information we are holding on you is incorrect or incomplete, please email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
• You may request details of personal information which we hold about you under the Data Protection Act 2018. If you would like a copy of the information held on you, please email us asking for a subject access request. 
Our GDPR Compliance
 
Camberley Dance Academy will:  
• Provide to view online the GPDR Privacy Notice explaining why data is being collected and what will be done with it.
• Ensure that all new students/parents positively ‘opt in’ to their data being collected. 
• Ensure that electronically-held personal data is password-protected. 
• Retain relevant, non-sensitive data indefinitely for the sole purpose of maintaining a historical record. 
• Remove sensitive data 2 years after a student has left the school. 
• Remove financial data 7 years after a student has left the school in accordance with HMRC. 
• Only collect personal data that is necessary for the running of the School and the safety of the student.
Photographs and Videos
Consent will be required to take photographs and videos of any student. Consent will be sought in order to use this media in marketing, on our website and on social media. 
Any parent or family member taking photographs at the schools’ events, may only do so with the express permission of the school (or direct permission from other parent/guardian of students that may be filmed in the process) and should be kept only for family use and should not be shared. publicly
